Location: Wilmington, MA

Compensation: $60,000-$70,000 per year, commensurate with experience.

Job Summary

Our HVAC Client in Wilmington, Ma is seeking a detail-oriented and highly organized individual to join their team as an Accounts Payable/Receivable Specialist and Office Coordinator. This role is ideal for someone who can manage numbers accurately, maintain an efficient office environment, and thrive in a fast-paced, high-volume setting. The position requires strong accounting skills using QuickBooks Online, excellent communication abilities, and a proactive approach to administrative tasks.

Key Responsibilities:

  • Accounts Receivable: Enter customer payments, process credit card transactions, manage invoicing platforms, handle collections, and reconcile monthly credit card payments.
  • Accounts Payable: Enter bills, assist with cash management, and manage petty cash.
  • Office Coordination: Maintain a tidy workspace, order supplies, coordinate vendor repairs, process COI requests, and serve as backup to the Office Manager.
  • Reception & Communication: Greet visitors, answer phones, manage mail, and maintain staff calendars.
  • Travel & Technology: Coordinate travel arrangements and assist with basic IT troubleshooting.

Qualifications:

  • Minimum 4 years of financial experience, preferably in accounting or a similar role.
  • Proficiency in QuickBooks Online (3+ years required).
  • Strong technical skills with Google Suite and spreadsheets.
  • Associate's degree or higher preferred.
  • Excellent organizational, communication, and time-management skills.
  • Ability to work independently and maintain confidentiality.
